Who You Are:
Your attention to detail and strong character equip you to effectively manage diverse functions within the Career Management office. Collaborating closely with the Associate Director of Operations, you play an integral role in implementing and upholding key operational procedures within the department. Leveraging your leadership and project management skills, you smoothly execute multiple projects, activities, and events throughout the year.
The small details are never lost on you, enabling you to proficiently handle the multi-faceted components inherent to this role. These encompass employment data review and preparation, event support, and any additional responsibilities as required. You consistently display integrity in all interactions and collaborate effectively with both internal and external stakeholders. What You’ll Do:
Employment Data Review & Preparation

Manage the employment data collection and reporting acquisition process/cycle, including reviewing job reporting outcomes, to ensure the collection of comprehensive statistical data on the employment of each HBA, MBA and MSc student in adherence to MBA CSEA international reporting standards

Requires high degree of understanding of standards, solid judgement in interpreting standards, and comfort in seeking communication from MBA CSEA where ambiguity exists

Leads response to MBA CSEA requests for data audits
-
Identify program-specific strategies for the collection of data in alignment with international guidelines, liaising with faculty program directors and section heads for strategy support

Collaborate with Career Management leaders on the development and implementation of the strategic plan for employment data
-
Manage the filtering, or ‘scrubbing’ process, of the employment data as part of the data quality management process to ensure that the data is reliable, accurate and collected in a consistent manner with close attention to detail and accuracy, and is not in violation of international reporting standards

Perform timely reviews of reported outcomes and work closely with internal teams where necessary to ensure all data aligns with standardized lists (i.e. industry, function, etc.) created by Career Management

Create and manage student outreach communications plans in conjunction with applicable student coaching leads, which involves:

Create a plan by program as to when specific job reporting communications should be sent and by whom
-
Verify employment details reported by students
-
Seek updated employment status with student groups and encourage reporting overall
-
Compile additional data points associated with employment report preparation, i.e. MBA Career Transitions, HBA summer conversion, etc.
Surveys & Data Lists
-
Formulate and execute a comprehensive calendar delineating the survey cycle for standard Career Management surveys. This encompasses charting the sequential timelines governing survey review, editing, strategic communication, distribution, and analysis.

Collaborate with internal teams to generate all Career Management surveys, including regularly reviewing and editing the content to meet departmental needs

Manage data collection process for surveys, and compiles results into an easily readable and logical manner, allowing the Data Analyst to complete full analysis in a timely manner

Retrieve data associated with common requests from Career Management and Ivey internal teams and compile it in an easily readable manner. These data requests are for lists of information, i.e. providing a list of MBA students who have not reported employment, and they do not require analysis
Recruitment Logistics Support

Facilitation and oversight of Career Management calendar development and upkeep, encompassing the entirety of Career Management-associated recruitment activity. Engaging closely with Program offices to attain a grasp of their timetables, identifying potential issues, and then translating the particulars onto the Career Management website and internal software (i.e. TeamUp)

Understand the various school, program, and Career Management initiatives to assess and mitigate conflicts to help facilitate a seamless student and recruiter experience

Manage elements of the recruiting experience, i.e. off-site venues, catering processes, parking, etc., to further enhance the recruiting experience with Ivey
-
Manage website updates in collaboration with the lead Associate Director, Corporate Recruiting, ensuring content is up-to-date, accurate, and relevant to recruiters. Review quarterly and prompt for updates

Manage a seasonal student team of Career Management Assistants, who support the Operations and Corporate Recruiting Teams by successfully delivering an exceptional experience to those recruiters visiting campus. This involves the following:
-
Lead the recruitment, operational onboarding, and performance management of the Student Concierge team (Career Management Assistants) to help deliver the high level of service provided by Career Management for on-campus recruiting activities.
-
Creates tailored training plan to provide the Student Concierge Team with the information and tools to be self-sufficient in managing any potential issues that arise with recruiting activity, including IT, CTS, catering, facilities, etc.
-
In support of Career Management’s intense devotion to superior service, manages the activities of the Student Concierge team to maximize utilization, and elevate service standards to a level that exceeds those at other universities.
-
Provide on-site support during busy recruiting periods to the Student Concierge Team, recruiters, alumni and students in the program, to ensure a successful recruiting experience. Managing any issues and conflicts as they arise.
Event Planning & Support

Collaborate with pertinent internal Career Management teams, in conjunction with the Ivey Events team, to strategically plan, implement, and execute events geared towards Ivey students and external stakeholders (i.e. alumni and recruiters)

Orchestrate all logistical facets associated with assigned events, from conceptualization to post-event evaluation.
-
Contribute to developing and implementing the events communication plan for students, recruiting and alumni partners, and the broader Ivey community.

Provide on-site (in London and Toronto) support throughout the set-up, execution and wrap-up of events to ensure all aspects of the event run smoothly.
-
Provide on-site assistance and direction during events to all service providers involved, including IT/AV, catering, facilities, etc. Troubleshoots any unforeseen challenges.

Administer participant survey in collaboration with internal Career Management teams and is responsible for feedback collection. Works with relevant CM teams to review and assess feedback to implement ongoing improvements for future success where applicable.
Operations & Other Support

Contribute to the investigation and execution of best practices to ensure we sustain our position as the lead in service operations for all of our partners, including, but not limited to, assessing survey feedback in collaboration with internal Career Management teams and implementing changes, assessing key competitor schools’ websites and offerings, etc.

Manage the process of obtaining data for Advancement requests received. Includes connecting with the applicable Associate Director, Corporate Recruiting, to gain insight on the level of the relationship with each recruiting partner and pulling job posting details.

Provide regular updates to Alumni Relations on alumni we have utilized for Career Management activities, i.e. panels, events, etc.

Provide input and support to Associate Director, Operations on an as-needed basis

What You Have:
Education & Experience

Successful completion of a university degree with a minimum of 2-3 years of experience in a similar role.

Experience in an operational or process improvement role; the ability to think through and create effective processes and procedures.

The incumbent must be available and prepared to work additional and long hours during peak times (i.e. September, October, February, March, April) when core campus recruiting activities and signature events take place. There are restrictions to vacations at certain times of the year,

Hiring Range
Based on the salary band for this role, candidates can expect to be offered a starting salary in the range of $55,900-$69,900. When determining salary, Ivey Business School considers the external market, candidate qualifications, as well as internal equity. Once in the role, successful candidates will have the opportunity to progress through the range through annual increases.
